CAMBRIDGE JUNGIAN CIRCLE 

PRIVACY & DATA PROTECTION POLICY

Introduction

 

In accordance with the General Data Protection Regulation, which came into force on 25 May 2018, this document sets out the approach of The Cambridge Jungian Circle to the collection, use and management of the personal data of its members under the following headings:

  • The data we collect and in what way

  • How the data are stored and who has access to them

  • Sharing the data

  • Purpose for which the data are used

  • Data removal and archiving

 

The data we collect and in what way

 

On becoming a member of, or a supplier to The Cambridge Jungian Circle individuals or organisations are asked to complete an online application form and to supply a name and email address, a postal address and telephone number.

The data are entered are transferred to the Charity’s Accounting Software (Quickbooks Online) by the Treasurer and updated either through the annual membership renewal process or as new data are made available throughout the year (e.g. change of email or residential address).

Names and email addresses provided by Members are also entered by the Treasurer on a Mailchimp contact database in order to facilitate the dispatch/receipt of an online newsletter.

Website users may also join the Cambridge Jungian Circle’s Mailchimp contact database

 

How the data are stored and who has access to them

 

Quickbooks Online
Only the officers of The Cambridge Jungian Circle – i.e. Chair, Treasurer, Secretary and Events Secretary – have access to the personal data of members of The Cambridge Jungian Circle on QuickBooks Online operated by Intuit. CJC Website
The Website Provider for the Cambridge Jungian Circle is WIX and this Company, therefore, has access to this data. Wix provide the following information about their privacy policy:

  1. We receive, collect and store any information you enter on our website or provide us in any other way. In addition, we collect the Internet protocol (IP) address used to connect your computer to the Internet; login; e-mail address; password; computer and connection information and purchase history. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. We also collect personally identifiable information (including name, email, password, communications); payment details (including credit card information), comments, feedback, event reviews, recommendations, publicity for events, and personal profile.

  2. When you facilitate an event or conduct a transaction on our website, as part of the process, we collect personal information you give us such as your name, address and email address. Your personal information will be used for the specific reasons stated above only.

  3. We collect such Non-personal and Personal Information for the following purposes.

    1. To provide and operate the Services;

    2. To provide our Visitors and Members with ongoing customer assistance and technical support;

    3. To be able to contact our Visitors and Members with general or personalized service-related notices and promotional messages;

    4. To comply with any applicable laws and regulations.

Wix may also share the data with sub-processors without obtaining any further written, specific authorization from the Cambridge Jungian Circle. Wix shall execute an agreement with each sub-processor ensuring compliance by such sub-processor at terms ensuring at least the same level of protection and security as those set out in this DPA. https://www.wix.com/about/privacy-dpa-users


CJC Mailing List

The Chair and treasurer have direct access to names and email addresses via the Mailchimp database. These are not shared with anyone else without the subscriber’s consent unless such details are already in the Public Domain, e.g. a Website

This is maintained by Mailchimp in accordance with their data processing addendum, available at https://mailchimp.com/legal/data-processing-addendum/

Each electronic newsletter provides the option to unsubscribe.


Sharing the data

 

The complete data set is shared solely between the officers as described above.

The complete data set will not be shared with any third party unless legally obliged to do so.

From time to time it might be necessary to share the personal data of one member of The Cambridge Jungian Circle with another in order, for example, to arrange transport to an event of one member by another. This will not, however, be done, without the agreement of the member concerned.

 

Purposes for which the data are used

Data removal and archiving

 

A member who fails to renew his/her membership is kept on the membership database .

Individuals are only removed from the Website Members List, the Subscriber List and Accounting Systems if they ask for this to be done or do so by using the 'Unsubscribe' option at the end of each Newsletter
